Profile Regarding Exhibitions & Conferences Organizing or Executing

ExiCon is fully qualified to organize or execute on a turnkey basis (from A to Z) conferences, seminars, congresses & exhibitions and all related activities.
All the below mentioned services are executed in cooperation & under the guidance of the main organizer.
The organizing committee should approve the selection of the most competitive service.
The fees for all services provided by ExiCon should be determined in a separate proposal (which will lead to final contract), taking into consideration the special details of each project.

1- Planning & Organizing
Advising and selecting congress (exhibition) venue, to meet the requirements of the event.
  - Detailed planning by preparing a critical path chart.
  - Scheduling and fixing time limits.
  - Issuing all governmental permits needed.
  - Securing official sponsorship (at least Ministerial level).


2- Budget, Banking & Accounting:
Preparing the budget with the aim to achieve all planned income with minimal cost.
  - Agreeing on the Banking & Accounting systems.


3- Printing, Mailing, Stationary & Promotional items:
Designing & printing all announcements, brochures, flyers, posters, program books, abstract books, formal invitations, certificates, labels,
  - Mailing of printed matters to potential participants.
  - Supplying required stationary & identifying all suppliers.
  - Providing promotional items: Bags, pens, notebooks, gifts, pins, panels, trophies, flags, etc….


4- Congress & Exhibition Management:
Preparing solicitation letters to sponsors, sponsor prospectus, agreements.
  - Providing floor plan for the exhibition.
  - Providing stands & all related equipment and furniture.
  - Providing the interior designer for the set up of both congress & exhibition halls.
  - Identification of Sponsors, Exhibitors and Advertisers in the different congress publications.
  - Following up the companies and sponsors and collect due payments (of which marketed and provided).
  - Providing required audio-visual equipment, computers, printers, photocopiers, fax machines, sound system….
  - Website arrangement.
  - Direct transmission.


5- Staff:
Providing presentable bilingual and trilingual hostesses at congress halls, registration desk, exhibition area & different functions.
  - Providing technical staff.
  - Photographers.
  - Direct Translators.


6- Media Campaign:
Arranging full media campaign study.
  - Arrange for all press releases.
  - Arrange for press conference.
  - Arrange for all advertisements in the media required.
  - Control the pressroom during the congress.


7- Congress & Secretarial Services:
Pre-registration & registration services.
  - Correspondence with all concerned parties.
  - Correspondence with speakers.
  - Collaboration with all the concerned committees (organizing, scientific, social,) & arranging periodical meetings with them to keep them informed of all progress and other important matters related to the congress.


8- After Congress Services:
Evaluation.
  - Press coverage.
  - Establishing a report-book.
